Which AI Tool Should We Use? Start With the Task, Not the Tool

"Which AI should we use?" is the question we hear most in workshops. The better question is which task you want to change. A simple way to choose.

Short answer: there is no single best AI tool. Pick the task you want to change first, decide what "good output" looks like, then test two or three tools on that exact task. The tool that your team keeps using after two weeks is the right one.

"AI ตัวไหนดี?" — which AI is best? — is a slide we put up in almost every session, because it is the first thing people ask. New tools launch every week, and teams freeze while they wait for the perfect choice.

Why "which tool?" is the wrong first question

Comparing tools in the abstract leads nowhere. A model that is great at writing can be weak at spreadsheets; a tool that makes beautiful images may not fit your brand workflow. The question only has an answer once you know the job.

A simple way to choose

1. Name the task

Be specific: "draft weekly sales summaries from our CRM export", not "use AI for sales".

2. Define good output

Write down what a good result looks like — length, tone, format, accuracy. This becomes your test.

3. Test two or three tools on the same input

Give each tool the same real example. Compare the outputs side by side against your definition of good.

4. Check the practical fit

Question Why it matters
Can it handle our language (Thai/English)? Output quality varies by language
Where does our data go? Company data and privacy rules
Does it fit where we already work? Adoption drops when people switch apps
What does it cost per user? Pilots scale into budgets

5. Run a two-week pilot

Let a small group use it in real work. Usage after two weeks tells you more than any feature list.

Adoption matters more than the model

In our experience the difference between teams that get value from AI and teams that don't is rarely the model. It is whether the team has clear use cases, simple guidelines and someone helping them through the first weeks.

FAQ

What is the best AI tool for a company?

There isn't one best tool. Choose based on the specific task, the language you work in, your data rules and where your team already works.

Should we standardise on one AI tool?

Standardise on a small, approved set with clear rules on data. One general assistant plus a few task-specific tools covers most teams.

How long should an AI tool pilot take?

Two to four weeks with real work is usually enough to see whether people keep using it and whether output quality holds up.
